Efforts to digitize civil registration records

After 2 months of digitizing civil registration records, Ninh Hoa Town has gained satisfactory results. The digitization of civil registration records has been basically completed this October.

In addition to regular duties, Tran Thi Hong Nam, Justice and Civil Status officer of Ninh Hiep Ward is in charge of digitizing civil status data in the ward. According to statistics, with a population of more than 23,000 people and more than 4,000 households, Ninh Hiep Ward has 34,565 civil status data that need to be digitized. Digitization helps increase efficiency and enhance accessibility.

Nguyen Hieu, Head of the Team of digitizing civil registration records, Ninh Hiep Ward said, “Every day, we scan files into PDF forms, process data after digitization, create excel files to upload data to the civil status registration and management information system to add to the national civil registration e-database.”

 According to Nguyen Huu Hao, Chief of Ninh Hoa Town Justice Department, the plan to digitize civil status documents in 2023 in the town has been implemented since July 2023. Specifically, it involves digitizing civil status documents registered in original civil status books (period from 1977 to March 2017) including marriage registration; birth registration; marital status certificate application; death registration and other civil status registration related to guardianship, marital status, ethnicity re-determination, etc. together with application for any amendments or supplements.

After more than 2 months of implementation with nearly 330,000 data to be digitized, till September 29, the town completed the digitalization of nearly 220,000 civil registration records; accounting for more than 66.8% with Ninh Tan Commune having achieved 100% and the communes of Ninh Loc, Ninh Xuan, Ninh Van having completed more than 90%.

In order to accelerate the civil status data digitization, justice and civil status officers in the town mostly have to work overtime, even on holidays. They all recognize that digitalization will facilitate their work as it helps better storage capacity, easy accessibility and fast file retrieval.

According to Le Minh Tam, Vice-Chairman of Ninh Hoa Town People's Committee, recently, most communes and wards in the area have made efforts to digitize civil status data and achieved satisfactory results. The town has directed localities to focus on overcoming difficulties and drastically deploy specific measures to ensure the digitization is completed this October.
